Before you order
- Collect the 30 questions customers actually ask, with the answer you would give. This is both the training material and the test you will accept against.
- List what the bot must never do: quote prices it cannot see, promise refunds, give medical or legal advice. A good seller asks for this; if they don't, send it anyway.
- Decide the handoff: when the bot is unsure, who gets the conversation, on which channel, and how fast.

Chatbot, AI agent or voice agent?
The words get used loosely in gig titles. A chatbot answers questions from material you give it: your FAQ, your documents, your site. An AI agent can also act, such as looking up an order, booking a slot or creating a ticket, which means it needs access to those systems and a stricter test. A voice agent is either of those on the phone, with speech in and out, and is priced higher because latency and interruptions are hard. Most small businesses are best served by a chatbot first; a customer support AI agent is the right order only when the action, not the answer, is what saves you time.
How to read the shortlist
The Pro list is for a bot your customers will rely on: sellers with long, recent delivery records who talk about documents, testing and handoff in their gigs. The up-and-coming list is cheaper and good for a first, narrow bot — one channel, one set of documents — where you can judge the result yourself.
Whoever you pick, the questions that separate good sellers from the rest are the same: how do you stop it from making things up, what happens when it doesn’t know, and whose account does it run on? The brief below asks all three, and the acceptance checklist explains why the last one matters for anything that runs without you watching.
Brief to send
Every field here is one a seller would otherwise ask about in a call. Fill them all; write "not applicable" rather than deleting one.
- Goal
- What should the assistant achieve? e.g. answer 70% of support questions without a person, or book appointments.
- Channels
- Where it lives: website widget, WhatsApp, Instagram, phone (voice), inside your app.
- Knowledge
- What it answers from: which documents, pages, FAQs, product data. Who updates them, and how often.
- Never do
- Topics it must refuse or hand over: prices it cannot see, refunds, legal or medical advice, anything about other customers.
- Handoff
- When it is unsure or the customer asks for a person: who receives the conversation, where, and within what time.
- Actions
- Anything it must do, not just say: create a ticket, book a slot, look up an order. Name the system for each.
- Tone and languages
- How it should sound, and which languages it must handle.

How to accept the work
- Run your 30 real questions. Count wrong or made-up answers, not just good ones; decide your pass mark before you test.
- Ask five things on the never-do list. It refuses or hands over every time.
- Trigger a handoff. A person actually receives the conversation, with the history attached.
- The AI provider key, hosting and conversation logs are on your accounts, and you know the cost per 100 conversations.
- You can update one answer yourself (edit a document or FAQ) and see the bot use it.

Chatbot or AI agent — what is the difference when hiring?
A chatbot answers. An agent also acts: it looks up an order, books a slot, updates a record. Agents need access to your systems, so they cost more and need stricter testing. Start with answering unless the action is the point.
Whose AI account should the bot run on?
Yours. Usage is billed per message, so the provider key should be on your card and your account. Otherwise the bot stops when the freelancer's account does, and you cannot see what it costs.
How do I stop it from making things up?
Limit it to your own documents, give it an explicit 'I don't know, let me connect you' path, and test with questions it should not be able to answer. Ask the seller how they measure wrong answers before you order.
