Before you order
- Write down the task as it runs today, step by step, with how often it happens. If you cannot, the freelancer cannot automate it either.
- Decide which accounts the automation will run on. They should be yours — the freelancer gets access you can revoke.
- Pick one measurable outcome ("the weekly report lands in the sheet every Monday by 9am"). That line becomes the acceptance test.

Which tool should the freelancer use?
You do not have to decide, but it helps to know what you are agreeing to. Zapier is the easiest to hand over to a non-technical team and the most expensive per task at volume. Make (formerly Integromat) is cheaper per operation and handles branching logic well; several sellers on this page argue for it when you do not want to run a server. n8n can be self-hosted, which means the workflow lives on infrastructure you own and costs nothing per run, at the price of someone having to keep that server up. A good n8n developer, Make expert or Zapier automation freelancer will tell you which fits; if a seller only ever recommends one tool, ask why.
How to read the shortlist
Sellers are listed because they match the rule above on the date shown, not because they pay us — see the disclosure. A Pro badge means Fiverr has vetted the seller; it also means a higher price. For a first, small workflow, a non-Pro seller with a long delivery history is often the better fit.
Before messaging anyone, read the acceptance checklist. It explains why the brief below asks for unattended test runs and a failure alert, and what goes wrong when you skip them.
Brief to send
Every field here is one a seller would otherwise ask about in a call. Fill them all; write "not applicable" rather than deleting one.

- What should be true when this works? One sentence, measurable.
- Trigger
- What starts a run — a schedule, an email, a form, a file landing somewhere?
- Inputs
- Exact sources (URL, sheet, mailbox, API) and who owns the credentials.
- Output
- Where the result goes and what it looks like (file, message, row, ticket).
- Rules
- The 3–5 decisions the automation must make, with an example of each.
- Failure behaviour
- What happens when an input is missing or a step fails — retry, alert whom, stop?
- Handover
- Workflow export, credentials in my accounts, and a written run-book: how to restart it and where the logs are.
- Acceptance
- Final payment after three unattended scheduled runs, one forced failure that alerts me, and one duplicate-run test.
- Maintenance
- Who fixes it when a connected tool changes, at what rate, and for how long.
How to accept the work
- Three runs fired by the real schedule or trigger, untouched — not "Run now".
- One forced failure (revoke a token, remove an input). You get an alert within the hour.
- Run a finished job again by hand: it detects the duplicate and does nothing.
- Every login and API key lives in an account you own and can rotate.

n8n, Make or Zapier — do I need to choose before I hire?
No. Describe the task and the tools it touches; a good seller will recommend one and say why. What you should decide is who pays for and owns the platform account — ideally you.
How long does a typical workflow automation take?
A single workflow connecting two or three tools is usually delivered in days, not weeks. Add time for the unattended test runs before you accept it.
Should maintenance be part of the first order?
Ask for a quote on it in the same conversation. Connected tools change their APIs and logins; without an agreed rate, the first breakage becomes a new negotiation.
